In June 2026 Microsoft rolled out several updates focused on making external emails easier to spot and giving users better tools to report threats. These changes help fight phishing but can feel surprising if you are not prepared.

What You Will See

  • External email tagging — Emails from outside your organization now show a clear “External” label or banner more consistently. With the June updates, this tag integrates better with Outlook inbox rules. You can now create rules that automatically sort, flag, or move external messages. This makes it easier to spot potential phishing or vendor emails at a glance, but some users report it feeling more prominent.
  • New reporting options — Improved ways to report suspicious messages directly from Outlook and especially from Microsoft Teams. Users can flag phishing attempts in chats, channels, or even calls more easily, sending them to your security team or directly to Microsoft for faster analysis.
  • Defender and URL checks — Stronger Safe Links protection (part of Defender for Office 365) now extends more deeply into Teams. When someone clicks a link in a Teams message, it gets checked in real time with better warnings or blocks for malicious URLs. You may notice more “this link looks suspicious” prompts.
  • Teams phishing reporting — Expanded user reporting features let team members mark suspicious external chats, messages, or links right inside Teams. Context around the message gets sent for review, helping your admin or our team respond quicker.

These updates rolled out throughout June 2026 and are now active for most tenants.

  3. Train your team quickly — Send a short internal note or hold a 10-minute team meeting. Show them the new External tags, how to report suspicious messages in Outlook and Teams, and remind them never to click links without verifying the sender.
  4. Check Defender settings — Ensure Safe Links policies cover Teams and email. Review the Security Center for any new alerts or reports. Test a few external links yourself to see the warnings in action.
  5. Monitor and adjust — Watch for the first week or two. Some users initially find the extra warnings disruptive. Fine-tune allow lists and rules so legitimate business communication stays smooth.
